This notice explains what personal data Saigon Young Professionals ("SYP", "we") collects through this website, why, where it is stored, who can see it, and the choices and rights you have. It applies to members, event guests and visitors.
Who we are
Saigon Young Professionals is a networking community for young professionals in Ho Chi Minh City, Vietnam. For anything about your data, email info@saigonyoungprofessionals.com.
What we collect
- Account details: your email address and a password. We never see your password; it is stored only in scrambled (hashed) form.
- Profile details you choose to add: name, job title, company, area of Ho Chi Minh City, a short bio, LinkedIn link, profile photo and tags (industry, skills, languages and what you are looking for).
- Event registrations: which events you register for. If you register as a guest, your name and email address.
- Payment receipts for paid events: the photo of your bank transfer receipt that you upload, the amount, and the transfer message code. We don't collect card numbers or bank logins.
- Consent records: when you agreed to this notice, and which version.
- Technical data: your browser keeps you logged in by storing a login token on your device. Our service providers keep standard security logs (such as IP addresses) when you use the site.
Why we use it
- To create and secure your account, confirm your email address and help you reset your password.
- To show your profile in the members-only directory so members can find and contact each other.
- To run our events: registrations, attendance numbers and check-in.
- To confirm payment for paid events by checking the receipt you upload against our bank account.
- To send you emails about your account and events you have registered for.
We do not sell your personal data, and we do not use it for advertising.
Who can see your information

Where your data is stored
We use trusted service providers to run this website. They store or process data on our behalf, outside Vietnam:
- Supabase stores accounts, profiles, photos, events, registrations and payment receipts in its Tokyo, Japan data centre.
- Resend delivers account emails (such as sign-up confirmations and password resets) from its Tokyo, Japan region.
- Our website host serves the website's pages. Member data is not stored with the host.
Storing data with these providers means your personal data is transferred outside Vietnam. We do this only with your consent, and we take the steps required by Vietnam's Law on Personal Data Protection and its implementing decree.
How long we keep it
We keep your account and profile until you delete your account. We keep event registration records, including payment receipts, for as long as we need them to run our events and keep financial records, and delete them on request where we are allowed to. When you delete your account, your profile, photo and registrations are removed from our systems.
Your choices and rights
- See and correct your data: edit your profile at any time on the My profile page.
- Delete your data: use "Delete my account" on the My profile page, or email us.
- Withdraw consent: you can withdraw your consent at any time by deleting your account or emailing us. This doesn't affect anything we did before you withdrew it.
- Ask a question or make a request: email info@saigonyoungprofessionals.com. You also have the right to complain to the relevant Vietnamese authority.
Security
Access to member data is controlled by the database itself: only logged-in members can see the directory, members can only change their own profile, and only authorised SYP staff can see guest details and manage events. All connections to the website are encrypted.
Changes to this notice
If we make important changes, we will update the version date above and ask members to agree to the new version the next time they log in.
